• .PDF files are very compact. The typical posting journal size is 10 to 20 KB. Therefore, a typical company will require under 0.5MB of storage per month. Today’s big, inexpensive hard drives make this an economical storage alternative.

Why do we use file documents by year and month?

Government taxing authorities mandate that you keep all audit information for a specific number of years. When the time is up just delete the appropriate folder(s). This makes PDFdocuments simple and easy o maintain.

For specification print outs can the customer/vendor number be used as the folder name?

For specification print outs can the customer/vendor number be used as the folder name rather than the year and month? Yes, this is an option on our order form but we don’t recommend this method due to the difficulty this creates when it comes time to purge older records. Don’t forget that you can re-print invoices any time from Adagio, PDFdocuments is just meant to replace the paper copy you print and file away.

How do we name the PDF files?

We use the report name + an uniquifier, typically this would be either the posting sequence number or an appropriate date code. For specification files we use the document number.

Why purchase PDFdocuments?

To help you do your part to save the planet by reducing the amount of paper used just to store documents while at the same time virtually eliminate the time wasted filing print outs. In a typical office more paper is used to print posting journals than any other type of report. This translates into huge saving while at the same time reducing the number of trees cut down each year!

What’s not included?

Batch listings and Inquiry reports don't need to be printed to paper and are not audit reports so they are not included in PDFdocuments. We have made an exception and included the General Ledger Batch listing, at the request of an end user.

At this time month end reports that you would store away, such at the Open Payables report, are not included. This is due to the difficulty in determining if the report is being printed for inquiry purposes (should never be permanently stored) or for month end purposes (should be permanently stored). We plan to include the month end reports in a future release of PDFdocuments.
